Appointments are scheduled in advance, at a frequency you and your therapist agree on, based on your goals, treatment needs, and mutual availability between you and your therapist. You may cancel appointments in advance without charge up to 24 hours before appointment time. You must notify Topp Counseling Services LLC that you are unable to attend a scheduled appointment by phone, text, or e-mail. If you call to cancel an appointment and your call is not answered, you must leave a voicemail in order to not be charged a no call/no show fee.
If you do not cancel more than 24 hours in advance or do not arrive within 15 minutes of your appointment time (no call/no show), you will be charged a $100 out-of-pocket no show fee. This fee must be paid prior to your next scheduled appointment or scheduling a future appointment. Topp Counseling Services LLC will not reschedule new patients who no call/no show to their first appointment.
Topp Counseling Services LLC may waive the no call/no show fee on a case by case basis for emergency situations. This is not guaranteed and must be discussed with your therapist.
Topp Counseling Services LLC and your therapist can be reached via call, text, or e-mail. Your therapist does not answer their phone or respond to texts or e-mails when they are with patients or otherwise unavailable. If we are unavailable, you may leave a message on our confidential voicemail. The confidentiality of texts and e-mails cannot be guaranteed. Topp Counseling Services LLC checks for voicemail, text, and e-mail messages during normal business hours. Messages left outside of normal business hours will be returned within two business days.
Topp Counseling Services LLC does not provide on-call, after-hours, or crisis care. If you are experiencing suicidal or homicidal thoughts, are in crisis, or need immediate help, call or text the Suicide & Crisis Lifeline at 988, call local emergency services at 911, or go to the nearest emergency room.
Topp Counseling Services LLC and your therapist will will inform you in advance of planned absences. If your therapist needs to cancel an appointment at the last minute, Topp Counseling Services LLC and your therapist will contact you as soon as possible to reschedule.
Topp Counseling Services LLC reserves the right to terminate services at any time and for any reason. Services may be terminated for failing to pay outstanding balances or adhere to a payment plan, two missed (no call/no show) appointments or a pattern of excessive appointment cancellations, inappropriate or untimely communications, or refusing to engage or comply with treatment. If your services are terminated, you will be provided with appropriate referrals to community services and/or providers. You may choose to terminate services at any time. If you choose to terminate services, you may request appropriate referrals to community services and/or providers. Once the decision to terminate services is made, services may continue for continuity of care while you establish care with a new provider. All services terminate at discharge.
When you achieve your treatment goals, you and your therapist will discuss, develop, and agree to a discharge plan. Once discharged, you may re-establish services in the future as appropriate.
Topp Counseling Services LLC charges a $50 administrative fee to complete any paperwork (such as for disability or Family Medical Leave of Absence (FMLA) applications) or letters you may request.
Topp Counseling Services LLC and your therapist do not offer legal advice, prepare or comment on legal forms or correspondence, or participate in court or legal matters, such as, but not limited to:
Divorce
Child custody
Workers’ compensation
Disability
Civil or criminal proceedings
unless an arrangement is made prior to the commencement of services. Our involvement in court and legal matters requires additional agreements and fees that are not covered by insurance or our clinical fee schedule. A retainer is required to begin such services.
If Topp Counseling Services LLC or your therapist is required to testify in legal proceedings, you will be charged a fee of $1,200 per day for lost wages and incidental costs. This fee must be paid in accordance with our account payment policy below.
You are responsible for ensuring Topp Counseling Services LLC has your current insurance provider and policy information on file. You must inform Topp Counseling Services LLC when your insurance provider or policy changes. Changes in insurance provider or policy may affect the amount you owe per session. You are responsible for any costs resulting from a change in insurance provider or policy. If your insurance denies payment for services provided by Topp Counseling Services LLC, Topp Counseling Services will work with you and your insurer to resolve the issue. If we are unable to resolve the issue and your insurer continues to deny payment, we will bill you for the remaining balance.
All co-pays, charges, and fees are due at the time of service. You will not be able to schedule your next appointment until you have paid your entire account balance. If you are struggling to pay your bill, Topp Counseling Services LLC may offer you a sliding fee scale.
If you fail to pay your account balance within 30 days, your account will be considered delinquent. You must pay your entire account balance or establish a payment plan in order to continue to receive services. Failure to adhere to a payment plan may result in the termination of services. Account balances not under a payment plan will be assessed a 10% late fee after 30 days, and again every 30 days thereafter.
Accounts that are over 90 days delinquent may be sent to collections.
Adaptive yoga sessions are $75 each. Payment is due when the session is scheduled. Discounts are available when you pre-pay for multiple sessions at one time. Session durations vary between approximately 45 to 60 minutes each. Session duration is impacted by your physical and emotional needs, abilities, and responses during the session. Therapy is not provided during adaptive yoga sessions.
